Who needs compliance training software?

You need compliance training tooling when required training becomes hard to assign, track and prove. The usual triggers are hiring in a state with its own training mandate, a growing number of supervisors, an audit or claim that asked for training records, or a policy that now applies to some roles but not others.

Some states set specific rules. California requires employers with 5 or more employees to provide sexual harassment and abusive conduct prevention training every two years: 1 hour for non-supervisory employees and 2 hours for supervisors, with new employees and new supervisors trained within six months. The training must be effective and interactive, and the state Civil Rights Department offers free online courses that satisfy the requirement. New York requires every employer, regardless of size, to provide a sexual harassment prevention policy and interactive training to all employees every year; a video or document with no way to ask questions or give feedback does not count as interactive.

At the federal level, the EEOC encourages employers to provide anti-harassment training to managers and employees, alongside clearly communicating that harassment will not be tolerated, an effective complaint process and immediate, appropriate action on complaints. A small employer can often start with free state courses where they exist and a simple sign-off record. Buy a tool when locations, roles or audit requests make tracking by hand unreliable.

How to choose compliance training software

Compliance training tools are judged on two things: whether the course content is accurate and current for the places your people work, and whether the records will stand up when someone asks who was trained, on what, and when.

Bring your state list and role structure to the demo, and ask the vendor to show how a new supervisor in each state would be assigned, reminded and recorded.

  1. State-specific course versions

    States such as California and New York set their own content, length, interactivity and frequency rules, so one generic course may not meet them.

  2. Interactivity

    California and New York both require interactive training, and New York says a video or document with no feedback mechanism does not qualify.

  3. Library breadth and topic fit

    Harassment prevention is only one topic; code of conduct, data privacy, safety and industry rules often apply too.

  4. Content update process

    Courses that lag behind rule changes give false confidence.

  5. Assignment rules by role and location

    Supervisors, new hires and employees in different states need different courses on different schedules.

Can I use free state harassment training instead of software?
