Who needs HR help desk software?
You need an HR help desk when employee questions arrive by email and chat, nobody can see what is open, and sensitive cases sit in personal inboxes. Other signals are repeated questions with no shared answers, and no way to show how a complaint was handled.
Records matter. EEOC requires employers to keep personnel and employment records for one year, and until final disposition once a charge is filed, so cases need reliable storage.
Lighter tools are enough when one or two HR staff handle a small team and a shared mailbox plus a log works. Add a system when volume, sensitivity or reporting needs outgrow it.
How to choose HR help desk software
Decide which requests you want in the system: general questions, document requests, leave, payroll queries, investigations. Sensitive cases need stronger controls than general questions.
Test the employee side as much as the HR side, since adoption depends on how easy it is to ask.

IT help desks handle technology requests. HR help desks handle sensitive people matters, so they need restricted cases, employee data context and HR-specific records. Using an IT tool for HR can work only if its confidentiality and retention controls are strong enough.
How long should we keep HR case records?
EEOC requires employers to keep personnel and employment records for at least one year, and until final disposition once a charge is filed. Your policy may require longer. Confirm the system can enforce retention periods and legal holds, and check state rules with counsel.
Can an HR help desk handle investigations?
It can track them if it supports restricted access, an audit trail and document storage. Check who can see the case, including administrators, and consult counsel on your process. If the tool cannot restrict access, keep investigations in a separate secured system.
Does a knowledge base reduce HR workload?
It can, when answers are current and findable. Measure deflection and repeat questions to find out. Poorly maintained articles increase work by producing wrong answers, so assign an owner and review date to each article from the start. Ask each vendor to show this against your own data in a demo, and get the answer in writing before you sign.
Is HR help desk software worth it?
It is worth it when case volume, confidentiality needs or reporting requirements exceed what a shared inbox handles. Estimate the HR hours spent on repeat questions and tracking before comparing prices, and ask references how much volume moved to self-service.
