Who needs offboarding software?

You need offboarding software when departures rely on a manager remembering to email IT, and you cannot prove that a former employee's access was removed. Other signals: final pay and benefit notices are handled case by case, equipment goes missing, and exits are processed differently by site.

Compliance adds pressure. Group health plan continuation notices have federal deadlines, and some records must be retained after separation.

Lighter tools are enough when you have few departures and a single HR owner. A checklist in your HRIS, with one IT ticket template, handles low volume. Move to dedicated software when volume, systems or audit needs make manual tracking unreliable.

How to choose offboarding software

Map what happens today from resignation or termination to the last day and beyond: who is told, which systems are changed, which notices go out. The failure points show which features matter.

Prioritize access removal and record keeping over exit survey design. Those are where risk concentrates.
