Who needs employee referral software?
You need referral software when referrals arrive by email or hallway conversation, when employees ask what happened to a person they referred, or when bonus eligibility disputes take recruiter time. It also helps when you want to know whether referrals actually convert to hires.
If you hire a few times a year, a form, a spreadsheet and a clear bonus policy may be enough.
Two compliance points matter. The EEOC warns that relying on word-of-mouth recruiting can violate the law if it produces a nearly uniform workforce. And bonuses are supplemental wages for tax withholding, and may affect overtime for non-exempt staff.

Do I need employee referral software?

Are employee referral bonuses taxable?
Yes, as supplemental wages. The IRS lets employers withhold a flat 22 percent on supplemental wages paid separately, up to the $1 million threshold, if income tax was withheld from regular wages. Confirm treatment with your payroll provider or tax adviser.
Do referral bonuses affect overtime pay?
They can. The DOL says nondiscretionary bonuses must be included in the regular rate for non-exempt employees, and a bonus employees know about and expect is generally nondiscretionary. Have payroll review your program design. Overtime is recalculated across the workweek in which the bonus is earned, so the rules sit on the payroll side, not in the referral tool.
Can employee referrals create discrimination risk?
Yes. The EEOC states that relying on word-of-mouth recruiting can violate the law if the result is that nearly all new hires share a protected characteristic. Track referral outcomes and combine referrals with broader sourcing. Ask vendors for referral source reporting by demographic group so you can review whether referrals narrow your applicant pool.
How much does employee referral software cost?
Pricing is typically per employee per month, per hire or payout, tiered by company size, or bundled with an ATS. Reward payments are separate. Ask about integrations and analytics tiers. Request a quote that separates platform fees from reward administration and integration charges, since bonuses themselves are your cost and not the vendor's.
Employee referral software vs. ATS referral module: which is better?
An ATS module is simpler and keeps data in one place, but may offer limited reward rules and sharing features. A standalone tool adds engagement and administration. Compare attribution and payroll export before deciding. If your ATS can tag referral source and trigger payout reports, you may not need a second system until participation grows.
