How to choose global payroll

The first question is the delivery model: a single software platform operating your payroll, a network of local providers coordinated through one contract, or a hybrid. Each has different accountability and cost.

Then verify country coverage for the countries you actually need, not the headline count.

  1. Delivery model and accountability

Providers operate directly, through in-country partners or through software that you run yourself.

  2. Country coverage depth

A country listed is not the same as full statutory support.

  3. Statutory compliance updates

Tax and contribution rules change often.

  4. Data consolidation and reporting

Finance needs one view in one currency.

  5. Integration with HRIS and finance systems

Employee data and journal entries should move without manual work.

  6. Funding and payment flows

Cross-border funding timing affects pay day.

Red flags

  • The provider will not name who files in each country.
  • Country coverage is quoted as a count without a list.
  • No sample payslip or statutory filing is shown.
  • Legal change tracking is not described.
  • Liability for penalties caused by provider error is excluded.

Frequently asked questions

What is global payroll software?

Global payroll software pays employees in several countries from one platform or contract. It calculates local taxes and contributions, produces payslips, files with authorities and consolidates reporting. It assumes you already have a legal entity in each country.

Global payroll vs employer of record: which should I choose?

Choose global payroll when you have your own entities abroad and need to pay people accurately. Choose an EOR when you want the provider to be the legal employer. EOR is typically faster for a few hires; owned entities with global payroll suit larger teams.

How much does global payroll cost?

Pricing is often per employee per month, sometimes with a per-country fee and set-up charges. Ask for a quote that lists every country, run type and filing. Expect differences between a coordinated partner model and a single platform.

Do I need global payroll software?

You need it if you pay employees through entities in multiple countries and consolidating data is slow or error-prone. If you operate in one country, or have only a few foreign workers, a local provider or an EOR may be simpler.

Who is responsible for compliance in global payroll?

It depends on the delivery model and the contract. Providers that file directly usually take more responsibility than software you run yourself. Read the liability and penalty clauses and ask who files in each country.

Can my U.S. payroll provider run payroll abroad?

Some offer international payroll through partners or add-on modules, while others do not. Ask which countries are covered, who calculates and files, and how data flows back. Coverage is often narrower than a specialist's.

Do U.S. employees working abroad still owe U.S. tax?

Generally yes. The IRS taxes U.S. citizens and resident aliens on worldwide income wherever they live. Your payroll provider handles local obligations, but U.S. filing and withholding should be confirmed with a tax adviser.

How we research

Products are ranked by the LeadChange Score, computed only from verified facts: capability coverage (30%), pricing transparency and value (20%), integrations and API (15%), security and compliance (15%), fit and support (10%) and data confidence (10%), times a category fit that lowers products built for another job. Payment never changes a score or a position.
