Global Mobility & Relocation Software

Global mobility software manages employee relocations and international assignments in one system. It tracks policies, budgets, assignment cost, supplier services, documents and tax-sensitive data such as days spent in each location, so HR, finance and the mobility team can see status and spend for every move.

Research in progress

We are verifying global mobility & relocation products against vendors’ official documentation and pricing pages. A ranking by LeadChange Score appears here once at least 3 products pass our research checks. Until then, this page explains what the software does, what we evaluate and how to choose.

Who needs global mobility & relocation software?

You need dedicated software when relocations are run through email and spreadsheets, when finance cannot see cost per move until after it is paid, or when assignees work across states or countries and you cannot track where they are. Volume and complexity both matter.

Tax treatment drives much of the work. For example, the IRS foreign earned income exclusion depends on tests such as being physically present in a foreign country for 330 full days in a 12-month period, so day counts have real consequences for the individual.

A lighter option can be enough for an employer with a few domestic moves a year: a policy document, a lump sum and a relocation supplier's own portal.

How to choose global mobility & relocation software

Mobility is an exercise in coordination across HR, finance, tax, immigration providers and relocation suppliers. Choose the product that gives each party the data they need without re-entry.

Test it with a real assignment from approval to closeout.

  1. Policy and benefit configuration

Moves differ by tier, destination and assignment type, and ad hoc exceptions are costly.

  2. Cost estimation and budget tracking

Finance needs forecast and actual cost per move, not totals after the fact.

  3. Tax-sensitive data and reporting

Employer reimbursements of moving expenses have had specific tax treatment. IRS guidance covered tax years 2018 through 2025 for nonmilitary employees, and current-year treatment should be confirmed with your tax adviser.

  4. Location and day tracking

Tests such as the 330-day physical presence rule depend on days in a place.

  5. Supplier management

Movers, temporary housing and destination service providers need coordinated requests and invoicing.

  6. Assignee experience

Employees under stress need status, benefits and tasks in one place.

Requirements by company size

  • Small businesses

    • Simple request and approval workflow
    • Lump sum and managed move options
    • Cost tracking per move
    • Payroll data export

    Watch out for

    • Platform minimums that exceed the value of a few moves
    • Features built for large assignment programs
    • Tax treatment left unflagged
  • Mid-sized companies

    • Policy tiers with approval rules
    • Supplier coordination and invoice matching
    • HRIS and payroll integration
    • Assignee portal

    Watch out for

    • Policy exceptions handled outside the system
    • Day tracking not linked to tax review
    • Limited reporting for finance
  • Enterprises

    • Multi-country policy and currency support
    • Assignment cost projection and shadow payroll data
    • Immigration and tax provider integration
    • Analytics and API access

    Watch out for

    • Data privacy across jurisdictions
    • Supplier network lock-in
    • Long configuration times for complex policies

Red flags

  • The vendor cannot show estimated versus actual cost for a single move.
  • Tax treatment is described as automatic with no named rules source or review process.
  • Suppliers can only be those in the vendor's own network, with no option to use your own.
  • Day tracking relies on a spreadsheet upload only.
  • Raw data cannot be exported.

Frequently asked questions

What is global mobility software?

It is a system that manages relocations and international assignments: policy, approvals, budgets, suppliers, documents and data needed for tax. It gives HR and finance one view of status and cost per move instead of tracking them in email and spreadsheets.

Do I need relocation management software?

You need it when you run enough moves that spend, exceptions and supplier coordination are hard to control, or when employees work across borders. For a few domestic moves a year, a clear policy and a lump sum may be enough.

Are employer-paid moving expenses taxable?

IRS guidance says that for tax years 2018 through 2025, reimbursements for certain moving expenses were not excluded from income for nonmilitary employees. Rules can change, so confirm current-year treatment with your tax adviser and ask how the software flags taxable benefits.

What is the 330-day rule?

It is the IRS physical presence test for the foreign earned income exclusion: being physically present in a foreign country or countries 330 full days during any period of 12 consecutive months. Employers track days so employees and tax advisers can assess it.

How much does global mobility software cost?

Vendors price per move, per active assignee per year, or as a fee on supplier spend. Ask for a total that includes integrations, invoice processing and any markups, and compare it with your current cost per move.

Global mobility software vs. an employer of record: which do I need?

They solve different problems. Mobility software manages moves of your own employees, while an employer of record employs workers on your behalf in a country where you have no entity. Some companies need both.

Is global mobility software worth it?

It is worth it when cost visibility, policy consistency or tax tracking are real problems at your volume. Test it with a live move and compare estimated and actual spend before you commit.

How we research

Products are ranked by the LeadChange Score, computed only from verified facts: capability coverage (30%), pricing transparency and value (20%), integrations and API (15%), security and compliance (15%), fit and support (10%) and data confidence (10%), times a category fit that lowers products built for another job. Payment never changes a score or a position.
