Per contractor per month
A flat fee per active contractor each month. Cost scales with payee count whether or not they were paid.
Per payment
A fee for each payout, often varying by country and method. It suits irregular payments and penalizes frequent small ones.
Percentage of volume
A percentage of the amount paid, sometimes combined with a currency conversion spread. It becomes expensive at high invoice values.
Base fee + per employee1 of 11 products
A platform fee plus a per-contractor charge, common when contractor payments are bundled with payroll or HR.

How to choose contractor management & payments software

Judge a contractor platform on three things: whether payees get paid correctly and on time, whether your records survive an audit, and whether it pushes you toward correct classification rather than hiding the risk.

Ask for a demo that onboards a payee in a country you actually use, pays an invoice, and produces the year-end report.

  1. Payee onboarding and tax documentation

Missing or wrong tax documents create reporting problems at year end and can force withholding decisions.

  2. Payment coverage and rails

Contractors expect local-currency payment, and failed transfers consume finance time.

  3. Classification support

The IRS looks at behavioral control, financial control and the type of relationship, and the DOL looks at economic dependence. A platform that records these facts gives you a defensible file.

  4. Contracts and statements of work

Payments should tie to a signed agreement and defined scope.

  5. Invoice and approval workflow

Approval gaps lead to duplicate or unauthorized payments.

  6. Year-end reporting

Businesses that pay contractors for services report nonemployee compensation to the IRS on Form 1099-NEC.

Requirements by company size

  • Small businesses

    • Simple payee onboarding with tax form collection
    • Fixed or per-payment pricing you can predict
    • Accounting export

    Watch out for

    • Per-contractor fees that exceed payment value at low amounts
    • Platforms built for global teams with features you will not use
  • Mid-sized companies

    • Approval workflows by amount and department
    • Multi-currency payouts with transparent exchange rates
    • Classification records stored per engagement

    Watch out for

    • Contractors who work like employees for years
    • Separate tools by region that fragment reporting
  • Enterprises

    • Single sign-on, granular permissions and audit logs
    • Procurement and vendor-management integration
    • Configurable classification review before onboarding

    Watch out for

    • Shadow contractor spend outside the system
    • Custom integration cost not included in the quote

Red flags

  • The vendor will not state the exchange-rate markup in writing.
  • Classification is described as handled by the platform, with no record of your own determination.
  • No year-end reporting support, or support only for payees with US addresses when you pay abroad.
  • Payment failures are not reported to you in a log you can export.
  • Terms make you liable for taxes or misclassification without explaining which party does what.

Frequently asked questions

What is contractor management software?

Contractor management software is a system for onboarding, contracting, paying and reporting on independent contractors. It collects tax documents, tracks agreements and invoices, runs approvals and sends payments, often across currencies. It is separate from payroll because contractors are not employees.

How do I pay international contractors?

Use a platform or bank service that supports the payee's country and currency, collect tax documentation first, and pay against an approved invoice. Compare the exchange-rate markup and who bears each fee. Confirm in advance who is responsible for local tax and classification rules in the payee's country.

How much does contractor payment software cost?

Cost depends on the model: a monthly fee per contractor, a fee per payment, or a percentage of volume. The visible fee is often smaller than the currency spread. Ask for a quote based on your actual payee count, countries and monthly payment volume, then add reporting and support charges.

Does the software prevent worker misclassification?

No. It can document your reasoning and flag risk, but you are responsible for the determination. The DOL says job titles, 1099 forms and verbal agreements do not decide status; the economic realities do. Treat classification tools as record-keeping, and consult counsel on unclear cases.

Do I need contractor management software or an employer of record?

Use contractor software when the person is genuinely independent and you only need to contract and pay them. Use an employer of record when the person works like an employee in a country where you have no entity. The deciding factor is the working relationship, not the payment method.

Can payroll software pay contractors?

Many payroll platforms can pay US contractors and produce Form 1099-NEC data. Check whether they support foreign payees, local-currency payouts and contract management. If you only pay a few domestic contractors, payroll may be enough.

Is contractor management software worth it for a small business?

It is worth it when payment errors, missing tax forms or approval gaps cost more than the subscription. With a few domestic contractors, an accounting tool is usually sufficient. Value rises with payee count, foreign payments and the need for an audit trail.

How we research

Products are ranked by the LeadChange Score, computed only from verified facts: capability coverage (30%), pricing transparency and value (20%), integrations and API (15%), security and compliance (15%), fit and support (10%) and data confidence (10%), times a category fit that lowers products built for another job. Payment never changes a score or a position.

  • Missing data scores zero

We never assume a feature; unverified items lower the confidence label.
