Who needs policy management software?

You need dedicated software when policies live in shared drives and email, when you cannot prove who received the current handbook, or when updates for different states or job groups are handled by hand. Regulators and courts look for evidence that policies are communicated and enforced.

The EEOC says an employer should give every employee a copy of its anti-harassment policy and complaint procedure and redistribute it periodically. Tracking that distribution is a basic job for this software.

A lighter option can be enough for a small team with one location and a single handbook: a document platform with e-signature, a version log and a calendar reminder for annual review.

How to choose policy management software

Policy software is judged by evidence. Choose the product that lets you prove, per person and per version, what was published, who received it and when they accepted it.

Test with a real policy change, not a sample document.
