An HRIS is a system of record, so its data model and its connections matter more than its feature count. Choose for how well it holds your data and shares it with payroll, benefits and accounting.

Run a trial with a real sample of employees, including at least one complicated case such as a rehire, a transfer or a multi-state worker.

An HRIS, or human resource information system, is software that serves as the system of record for employee data. It stores profiles, job and pay history, documents and time-off balances, and automates onboarding, approvals and reporting. Most connect to payroll and benefits so changes made once reach every system.

What is the difference between HRIS, HRMS and HCM?

HRIS usually refers to core HR records and administration. HRMS typically adds payroll and time. HCM is the broadest, adding talent management and analytics. Vendors use the terms interchangeably, so compare the modules, data model and integrations a product actually includes rather than the label.

What is the best HRIS for small business?

The best option for a small business combines employee records, onboarding, time off and a payroll connection at predictable per-employee pricing. Our ranking evaluates those factors from verified data. Check what the entry tier leaves out, since reporting and integrations are commonly reserved for higher plans.

How much does an HRIS cost?

Most HRIS products charge per employee per month, sometimes with a base fee, and tier by features. The total depends on headcount, modules, integrations and implementation fees. Request an itemized quote and compare multi-year cost, since add-ons and renewal increases frequently explain differences between advertised and actual prices.

Do I need an HRIS if I already have payroll software?

Not always. Many payroll products include employee profiles, documents and time off. You need a dedicated HRIS when you require deeper records, workflows, reporting or onboarding that payroll tools cannot support. Test whether your current payroll product handles your three most time-consuming HR processes before buying.

Is a free HRIS worth it?

A free HRIS can work for very small teams with simple needs. The tradeoffs are usually headcount caps, limited reporting, and fewer integrations or support. Before choosing one, confirm you can export all of your data, and check the price of the first paid tier, because you may outgrow the free plan.

How long do I need to keep employee records?

The FLSA requires payroll records for at least three years and time cards and wage-computation records for two years. The EEOC says employers keep personnel records for one year, and for terminated employees one year from termination. Form I-9 has a separate rule. Check state law as well.
