Research in progress

We are verifying internal communications products against vendors’ official documentation and pricing pages. A ranking by LeadChange Score appears here once at least 3 products pass our research checks. Until then, this page explains what the software does, what we evaluate and how to choose.

What we evaluate

  • Multi-channel delivery

Delivers messages across email, mobile app, intranet and messaging tools.

  • Audience targeting

Targets messages by role, location and other attributes.

  • Read and acknowledgment tracking

Records who opened and acknowledged each message.

  • Engagement analytics

Reports reach and engagement by channel and audience.

  • Two-way communication

Supports comments, questions and surveys alongside announcements.

  • Content creation and approval

Drafts, reviews and approves content before it is published.

  • Directory sync

Syncs audiences from the HRIS or identity provider.

  • Send scheduling

Schedules messages in advance and sets recurring communications.

  • Language and accessibility

Supports message translation and accessible content formats.

  • Privacy and consent

Handles consent for texts and use of personal devices.

  • Emergency alerts

Sends urgent notifications to all or selected staff.

Who needs internal communications software?

You need dedicated software when important messages do not reach everyone, especially people without company email or a desk. Other signals are multiple channels with no single record of what was sent, and leaders asking who read a policy update.

Frontline and shift-based workforces benefit most because email rarely reaches them.

Lighter tools are enough when everyone works at a computer, a chat tool and email cover your announcements, and you do not need read tracking. If a shared chat channel already works, adding a platform adds cost without improving reach.

How to choose internal communications software

Start with the audience problem: who is not being reached, and on what device. A platform that cannot reach those people on their own phones or shared screens will fail regardless of features.

Then check targeting, measurement and what administrators can control.

  1. Reach across devices and channels

Employees without email still need to receive important messages.

  2. Audience targeting

Irrelevant messages teach people to ignore the platform.

  3. Read and acknowledgment tracking

Some messages, such as policy updates, need proof of receipt.

  4. Analytics and reporting

Communicators need to know what works.

  5. Two-way communication

Feedback and questions improve messages and safety.

  6. Content creation and approval workflow

Leaders and local managers need to publish safely.

Requirements by company size

  • Small businesses

    • Mobile and email delivery
    • Simple targeting
    • Low admin effort

    Watch out for

    • Tools designed for large communications teams
    • Per-user pricing that exceeds the value of simple announcements
  • Mid-sized companies

    • Targeting by location and role
    • HRIS sync
    • Read tracking and analytics

    Watch out for

    • Several teams publishing without governance
    • Inaccurate audience data
  • Enterprises

    • Granular publishing permissions and approvals
    • Multi-language and regional targeting
    • Integrations with chat, intranet and HR systems

    Watch out for

    • Overlap with existing intranet and chat tools
    • Regional privacy rules for personal-device apps

Red flags

  • The vendor cannot explain how people without work email are reached.
  • Read tracking works only for email, not the app.
  • Audiences must be maintained manually.
  • There is no approval workflow for local publishers.
  • The mobile app asks employees to install it on personal phones with no stated data policy.

Frequently asked questions

What is internal communications software?

It is a platform for sending news and announcements to employees and measuring who received and read them. It targets messages by role or location and reaches people on mobile, email and desktop, so leaders can see which groups are missing important updates.

Do I need internal communications software?

You need it if important messages miss people without email or you must prove receipt of updates. If everyone works on computers and chat plus email covers your needs, a dedicated platform may add little beyond cost and another place to check.

How much does internal communications software cost?

Most vendors charge per employee per month or by headcount band, with extra fees for messaging, analytics and services. Costs vary by channels and features. Ask for a quote based on your total employees and the channels you need, with every add-on listed.

What is the difference between internal communications software and an intranet?

Internal communications tools push messages to people and measure delivery. An intranet is a destination where employees find content, policies and tools. Many products combine both, so check which function is stronger and which one you actually need first. Ask each vendor to show this against your own data in a demo, and get the answer in writing before you sign.

Can employers monitor employee messages?

Employer rules that stop employees from discussing wages are unlawful under the National Labor Relations Act, and so is surveillance of such conversations. Moderation and monitoring rules for any two-way feature should be reviewed by counsel before launch. Ask each vendor to show this against your own data in a demo, and get the answer in writing before you sign.

How do I reach frontline employees without email?

Use mobile apps, text messages, shared kiosks or printed codes. Ask the vendor how employees join without a work email, and what consent and data rules apply to personal phones. Pilot with one site and measure read rates before rolling out.

Is internal communications software worth it for a small business?

Usually only if you have staff you cannot reach by email or need proof that policy updates were read. Otherwise chat and email may be enough. Revisit when you add locations, shifts or staff without computers, because reach problems grow with them.

What should I measure?

Measure reach, read rate and acknowledgment by audience, especially for frontline staff. Avoid relying only on aggregate opens, since averages hide groups that never see messages. Track which message types get ignored and retire them. Ask each vendor to show this against your own data in a demo, and get the answer in writing before you sign.

How we research

Products are ranked by the LeadChange Score, computed only from verified facts: capability coverage (30%), pricing transparency and value (20%), integrations and API (15%), security and compliance (15%), fit and support (10%) and data confidence (10%), times a category fit that lowers products built for another job. Payment never changes a score or a position.

  • Facts, not impressions

Every input is a fact verified against vendors’ official documentation, with the date we last checked it.

  • Missing data scores zero

We never assume a feature; unverified items lower the confidence label.

  • Independent of revenue

Rankings are computed before and without knowing which vendors pay us.
