Who needs employee relations case management software?
You need employee relations case management software when complaints and investigations are tracked in email, personal notes and spreadsheets, and HR cannot show what was reported, who investigated, what was found and what action followed. The signals are inconsistent outcomes for similar issues, investigations that stall, and no view of repeat problems in a team or location.
Documentation matters because of how liability works. The EEOC says that when a supervisor's harassment results in a hostile work environment, an employer can avoid liability only if it can prove it reasonably tried to prevent and promptly correct the harassing behavior and the employee unreasonably failed to use the preventive or corrective opportunities provided. For harassment by non-supervisory employees or non-employees it controls, the employer is liable if it knew or should have known and failed to take prompt and appropriate corrective action.
Retaliation is the other risk. The EEOC lists answering questions during an employer investigation of alleged harassment as protected activity, and says retaliation is the most frequently alleged basis of discrimination in the federal sector. EEOC regulations also require employers to keep personnel and employment records, and to preserve records relating to a charge until its final disposition. With very few cases a year, a secure, access-controlled case log may be enough.
How to choose employee relations case management software
Choose on confidentiality and consistency. The tool has to keep sensitive cases visible only to the right people while making sure every case follows the same steps, from intake to a documented outcome.
Bring an anonymized past case to the demo and ask the vendor to log it, assign an investigator, add interview notes and evidence, record findings and the corrective action, and then show the audit trail.

What should an HR investigation file include?
Typically the complaint or report, the people involved, the investigation plan, interview notes, evidence, findings, the decision and any corrective action, with dates and the names of those who handled each step. Consistent files make outcomes easier to defend and compare. Follow your counsel's guidance on what to record.
Why does documenting harassment complaints matter?

How long should employers keep investigation records?
The EEOC says its regulations require employers to keep all personnel or employment records for one year, and for one year from the date of termination for involuntarily terminated employees. When a charge is filed, records relating to it must be kept until final disposition of the charge or any lawsuit. State laws and your own policy may require longer, so confirm with counsel.
Can employees report issues anonymously?
Many tools accept anonymous reports through web forms or a hotline and let investigators send follow-up questions without revealing the reporter. Ask whether anonymous reporters can check status and reply, and how the system keeps their identity out of the case record.
