Org Chart Software

Org chart software builds and maintains visual diagrams of reporting lines, teams and roles. It reads employee data from an HR system or file, updates the chart as people change, and lets you filter, share and model changes such as reorganizations, open roles and spans of control.

Research in progress

We are verifying org chart software products against vendors’ official documentation and pricing pages. A ranking by LeadChange Score appears here once at least 3 products pass our research checks. Until then, this page explains what the software does, what we evaluate and how to choose.

What we evaluate

  • Automatic org chart

Builds org charts automatically from HRIS reporting data.

  • HRIS sync

Updates charts when HR data changes.

  • Vacancies and contractors

Shows open positions and contractors alongside employees.

  • Dotted-line relationships

Shows matrix and secondary reporting lines.

  • Scenario modeling

Models organizational changes before they happen.

  • Visibility controls

Hides sensitive fields and employees from users without permission.

  • Export and sharing

Exports charts as images, PDFs or links for sharing.

  • Span and headcount analytics

Measures spans of control and headcount.

  • Employee directory

Shows employee profiles with title, contact details and location.

  • Historical structures

Shows past org structures by effective date.

Who needs org chart software?

You need dedicated org chart software when the chart is a slide or drawing that is out of date within weeks, or when leaders ask who reports to whom and the answer requires a spreadsheet search. Reorganizations and acquisitions raise the cost of stale charts.

It also helps when you plan headcount, because you need to see spans of control, vacancies and hierarchy changes before you decide.

If your HR system already draws a current chart and you have no planning needs, a standalone tool adds little. A small team can also manage with a simple diagram tool until reporting lines change often.

How to choose org chart software

An org chart is only as good as its source data. Evaluate how the tool gets data, how fast changes appear and who can see what.

Run the demo with an export of your real employee file, including contractors, vacancies and matrix reporting.

  1. Data source and sync

A manual chart is out of date the day after it is drawn.

  2. Vacancies, contractors and dotted lines

Real organizations include open roles, non-employees and matrix reporting.

  3. Scenario modeling

Reorganizations need a draft view that does not change the live chart.

  4. Visibility and privacy controls

Org data includes names, titles and sometimes sensitive fields.

  5. Large-chart usability

Charts with thousands of people can become unusable.

  6. Export and sharing

Leaders need slides, PDFs and links.

Requirements by company size

  • Small businesses

    • Import from a spreadsheet or HR system
    • Easy editing and sharing
    • Fair price for few users

    Watch out for

    • Charts that require manual maintenance
    • Paying for planning features you will not use
  • Mid-sized companies

    • Automatic sync with the HR system
    • Scenario planning for reorganizations
    • Role-based visibility

    Watch out for

    • Matrix structures that the tool cannot draw
    • Poor performance at your headcount
  • Enterprises

    • Support for very large charts
    • Single sign-on and field-level permissions
    • Historical views and change logs

    Watch out for

    • Multiple HR systems feeding conflicting data
    • Sensitive fields exposed in shared links

Red flags

  • No automatic sync, only manual upload.
  • The vendor cannot show your headcount live in the demo.
  • Draft scenarios overwrite the live chart.
  • Sharing links cannot be restricted or revoked.
  • No way to hide sensitive fields by role.

Frequently asked questions

What is org chart software?

Org chart software creates and maintains diagrams of reporting lines and teams. It imports employee data from an HR system or file, updates as people change and supports filtering, sharing and what-if planning for reorganizations.

Do I need org chart software or can I use my HRIS?

If your HRIS draws a current chart and you do not need scenario planning, you may not need a separate tool. Choose standalone software when you need modeling, richer visuals, vacancies or cross-system data. Test your HRIS chart at your headcount first.

What is the best org chart software for small business?

The best choice is one that imports from your HR data or a spreadsheet, is easy to edit and has transparent pricing. Avoid planning modules you will not use. Our ranking weighs those factors using verified product data.

How much does org chart software cost?

Most tools charge per employee per month or per editor, and some use headcount bands. Planning and analytics are often extra. Ask for a quote at your headcount and confirm what is included for viewers.

Can org chart software model a reorganization?

Many can, through draft scenarios kept separate from the live chart. Ask to build a scenario in the demo, compare it with the current state and share it with a limited group. Without that, the tool is only a drawing.

How do org charts stay up to date?

Through sync with the HR system, so changes in manager or title flow in automatically. Manual upload works but goes stale. Ask how often sync runs and how errors are reported.

Is org chart software worth it?

It is worth it when reorganizations, hiring plans or leadership questions depend on a current structure. If a stale chart causes few problems and your HR system suffices, it is not.

How we research

Products are ranked by the LeadChange Score, computed only from verified facts: capability coverage (30%), pricing transparency and value (20%), integrations and API (15%), security and compliance (15%), fit and support (10%) and data confidence (10%), times a category fit that lowers products built for another job. Payment never changes a score or a position.

  • Facts, not impressions

Every input is a fact verified against vendors’ official documentation, with the date we last checked it.

  • Missing data scores zero

We never assume a feature; unverified items lower the confidence label.

  • Independent of revenue

Rankings are computed before and without knowing which vendors pay us.
