What we compare

No HR help desk product is verified yet. These are the capabilities each one will be checked against, in the vendor’s own documentation.

Capabilities in the comparison

  • Case management

Creates, assigns and tracks HR cases from submission to resolution.

  • Routing and SLAs

Routes cases by topic and tracks response times.

  • Confidential cases

Restricts access to sensitive cases such as complaints to designated agents.

  • Knowledge base

Hosts HR answers and articles that employees can search before opening a case.

  • Multi-channel intake

Accepts requests by chat, email, portal and messaging apps.

  • Employee context

Pulls employee data from the HRIS into cases.

  • Workflow and document generation

Automates case tasks and generates letters such as employment verifications.

  • Reporting and trends

Reports case volume, topics and resolution times to show trends.

  • Audit trail and retention

Retains case records and logs actions for the required period.

  • Access controls

Controls agent and administrator access by role, with single sign-on.

How to choose HR help desk software

Decide which requests you want in the system: general questions, document requests, leave, payroll queries, investigations. Sensitive cases need stronger controls than general questions.

Test the employee side as much as the HR side, since adoption depends on how easy it is to ask.

  1. Case management and routing

Cases must reach the right person and not be lost.

  2. Confidential case handling

Investigations and medical matters need restricted access.

  3. Knowledge base and self-service

    Self-service reduces repeat questions.

  4. Employee channels

Employees ask where they already work.

  5. HRIS integration and employee context

Agents need employee data to answer correctly.

  6. Audit trail and record retention

Cases may become evidence in a dispute.

Requirements by company size

  • Small businesses

    • Shared inbox replacement with case tracking
    • Simple knowledge base
    • Restricted case access

    Watch out for

    • Platforms built for large service teams
    • Per-agent pricing that exceeds the value for one or two HR staff
  • Mid-sized companies

    • Routing by topic and location
    • Knowledge base with targeting
    • HRIS integration

    Watch out for

    • Cases handled in side channels
    • Inconsistent answers across locations
  • Enterprises

    • Tiered support and escalation
    • Granular permissions and audit
    • Integration with enterprise service and HR systems

    Watch out for

    • Regional privacy and works council requirements
    • Configuration that depends on vendor services

Red flags

  • Administrators can read every confidential case without a log.
  • Cases cannot be exported or deleted according to your retention policy.
  • Employees must create an account separate from single sign-on.
  • Employee data is copied into the help desk with no sync rules.
  • Knowledge articles cannot be targeted by location or employee group.

How we research

Ranked by the LeadChange Score, computed only from verified facts: capability coverage (30%), pricing and value (20%), integrations and API (15%), security (15%), fit and support (10%) and data confidence (10%), times a category fit. Products with too few verified facts are not scored yet and come last. Payment never changes a score or a position.

Read the full methodology

  • Facts, not impressions

Every input is a fact verified against vendors’ official documentation, with the date we last checked it.

  • Missing data is never assumed

Unverified items are left out of the score and lower its coverage; below 60% coverage a product is not scored yet.

  • Independent of revenue

Rankings never depend on whether a vendor pays us.
