How to choose expense management software

Choose on how little effort a compliant expense takes for the employee and how little cleanup it leaves for finance. The best tools capture the receipt at the point of purchase, apply policy before submission and post clean entries to accounting.

Bring a real month of expenses to the demo, including a foreign-currency receipt, a mileage claim and an out-of-policy item, and follow each through to the general ledger.

    Employees skip steps that are slow, and missing receipts are the main cause of month-end chasing.

  2. Policy rules applied before submission

    Catching out-of-policy items before approval saves approvers and finance from rework.

  3. Approval workflows

    Approvals must follow your org chart and budget owners, including delegates when someone is away.

  4. Company card reconciliation

    Card transactions need receipts and coding just like reimbursements, and matching them by hand is slow.

  5. Mileage and per diem

    Mileage and per diem claims are common and easy to get wrong without built-in rates and tracking.
