What we compare

No SaaS management product is verified yet. These are the capabilities each one will be checked against, in the vendor’s own documentation.

Capabilities in the comparison

  • App discovery

Finds apps in use from identity, finance, browser and direct integration data.

  • App inventory and ownership

Keeps a list of apps with business owners, status and cost.

  • License usage and right-sizing

Measures seat activity and recommends removing or reassigning unused licenses.

  • Renewal and contract tracking

Tracks contract terms, renewal dates and notice periods with reminders.

  • Provisioning and deprovisioning

Grants and removes app access automatically as people join, move or leave.

  • HRIS sync

Uses HRIS events and attributes to trigger access and license changes.

  • App request workflows

Lets employees request apps or seats with approvals by owners, IT and finance.

  • Security and risk insight

Flags unapproved apps, risky permissions and apps holding company data.

  • SaaS spend visibility

Shows software spend by app, department and vendor from finance data.

How to choose SaaS management platform

Choose on how completely the platform finds your apps and how much of the follow-up work it automates. Discovery without action becomes another report; automation without complete discovery leaves gaps.

Connect a trial to your real identity provider, finance data and HRIS, and compare what it finds against the apps you already know about.

  1. Discovery coverage

Apps bought on cards or used without single sign-on are where waste and risk hide.

  2. License usage and right-sizing

Savings come from knowing which paid seats are inactive and acting before renewal.

  3. Renewal and contract tracking

Missed notice periods lock in another term at the old size and price.

  4. Automated provisioning and deprovisioning

Joiners need access on day one, and leavers must lose it everywhere, including apps outside single sign-on.

  5. HRIS integration

Hires, role changes and departures are the triggers for most license and access changes.

  6. App ownership and request workflows

Every app needs a business owner, and new requests should go through a known path instead of a card.

Requirements by company size

  • Small businesses

    • Discovery from finance and identity data
    • Simple app inventory with owners
    • Renewal reminders

    Watch out for

    • Minimum contract sizes built for large companies
    • Browser extensions that monitor more than needed
    • Paying for automation you cannot set up
  • Mid-sized companies

    • HRIS-driven onboarding and offboarding
    • License usage and right-sizing for main apps
    • App request and approval workflow

    Watch out for

    • Usage data limited to login events
    • Offboarding that only covers single sign-on apps
    • Integrations listed but read-only
  • Enterprises

    • Multi-entity inventory with procurement integration
    • Role-based access and audit trail
    • Security review of risky and unapproved apps

    Watch out for

    • Overlap with existing IT service and asset tools
    • Employee privacy concerns in some countries
    • Long setup for contract ingestion

Red flags

  • Discovery relies on a single data source
  • Usage figures cannot be traced to the underlying data
  • Offboarding produces a checklist but no record of completion
  • The vendor cannot state exactly what each connector reads
  • Savings claims without a method you can check against your own data

How we research

Ranked by the LeadChange Score, computed only from verified facts: capability coverage (30%), pricing and value (20%), integrations and API (15%), security (15%), fit and support (10%) and data confidence (10%), times a category fit. Products with too few verified facts are not scored yet and come last. Payment never changes a score or a position.

Read the full methodology

  • Facts, not impressions

Every input is a fact verified against vendors’ official documentation, with the date we last checked it.

  • Missing data is never assumed

Unverified items are left out of the score and lower its coverage; below 60% coverage a product is not scored yet.

  • Independent of revenue

Rankings never depend on whether a vendor pays us.
