What we compare

No employee referral product is verified yet. These are the capabilities each one will be checked against, in the vendor’s own documentation.

Capabilities in the comparison

  • Referral submission

Lets employees submit candidates from web, mobile or email.

  • Job sharing

Lets employees share open jobs on social channels through tracked links.

  • ATS integration

Syncs referrals and job data with the applicant tracking system.

  • Source attribution

Credits the referrer on the candidate record.

  • Referral status visibility

Shows referrers the progress of their candidates.

  • Reward rules

Configures bonus amounts, tiers and eligibility by job.

  • Bonus payout tracking

Triggers and tracks bonus payment after milestones such as hire or retention.

  • Program controls

Manages exclusions, hiring-manager conflicts and duplicate rules.

  • Referral reporting

Reports volume, hires and quality by referrer.

  • Privacy and consent

Handles consent and data for referred candidates.

How to choose employee referral software

Choose on how easily an employee can refer and see progress, and on how reliably the tool attributes referrals and pays rewards correctly. Participation is the main driver of results, so test the employee experience first.

Ask a non-recruiter employee to submit a referral from their phone without help.

  1. Employee referral experience

Participation falls when referring takes effort.

  2. ATS integration and source attribution

Referrals must be tagged at the source of record, or credit and bonuses are disputed.

  3. Status visibility for referrers

Employees stop referring when they hear nothing back.

  4. Reward rules and administration

Tiered, role-based and time-based rules cause disputes if not automated.

  5. Payroll and tax handling of bonuses

Bonuses are supplemental wages for withholding, and nondiscretionary bonuses must be included in the regular rate for non-exempt employees.

  6. Diversity and fairness safeguards

The EEOC notes that word-of-mouth recruiting can produce discriminatory outcomes when the workforce is homogeneous.

Requirements by company size

  • Small businesses

    • Simple referral form and job sharing links
    • Clear manual or automated reward tracking
    • Low cost or bundled with ATS

    Watch out for

    • Paying for gamification you will not use
    • No payroll export for bonuses
    • Tool adding administration without volume to justify it
  • Mid-sized companies

    • ATS-native referral tracking and attribution
    • Rule-based reward administration
    • Referral reporting by department and role

    Watch out for

    • Referral conflicts between recruiters and employees
    • Bonus disputes without audit trail
    • Low participation after launch
  • Enterprises

    • Multi-country and multi-entity reward rules
    • Payroll integration across entities
    • Role-based access and audit trail

    Watch out for

    • Tax and regular rate handling varying by country and state
    • Referral program governance across business units
    • Integration across multiple ATS instances

Red flags

  • No audit trail for how a referral was attributed
  • Cannot export payouts to payroll
  • Referrer sees candidate data that should be confidential
  • Reward rules cannot be configured to your policy
  • No way to report referral share of hires by source

How we research

Ranked by the LeadChange Score, computed only from verified facts: capability coverage (30%), pricing and value (20%), integrations and API (15%), security (15%), fit and support (10%) and data confidence (10%), times a category fit. Products with too few verified facts are not scored yet and come last. Payment never changes a score or a position.

  • Facts, not impressions

Every input is a fact verified against vendors’ official documentation, with the date we last checked it.

  • Missing data is never assumed

Unverified items are left out of the score and lower its coverage; below 60% coverage a product is not scored yet.

  • Independent of revenue

Rankings never depend on whether a vendor pays us.
