What we compare

No employee relations case management product is verified yet. These are the capabilities each one will be checked against, in the vendor’s own documentation.

Capabilities in the comparison

  • Multi-channel case intake

Captures issues from managers, HR, web forms and hotlines, including anonymous reports.

  • Investigation workflow

Guides interview plans, evidence, findings and reports for each case type.

  • Case-level access control

Limits each case to the people who need it and logs every view.

  • Anonymous two-way messaging

Lets investigators ask follow-up questions without revealing the reporter.

  • Privilege marking and legal holds

Marks privileged material and preserves records during charges or litigation.

  • Retaliation monitoring

Flags later adverse actions for people involved in a case.

  • Corrective action tracking

Records decisions and follow-up actions and compares them with similar cases.

  • Retention rules

Applies retention schedules by case type and records deletions.

  • Trend analytics

Reports on issue types, volume, resolution time and hotspots.

  • HRIS integration

Syncs employee, manager and location data into case records.

How to choose employee relations case management software

Choose on confidentiality and consistency. The tool has to keep sensitive cases visible only to the right people while making sure every case follows the same steps, from intake to a documented outcome.

Bring an anonymized past case to the demo and ask the vendor to log it, assign an investigator, add interview notes and evidence, record findings and the corrective action, and then show the audit trail.

  1. Case intake channels

Issues arrive from managers, HR partners, web forms, hotlines and employees directly, sometimes anonymously.

  2. Investigation workflow

Consistent steps make outcomes defensible and easier to compare across cases.

  3. Access control and confidentiality

Cases can involve managers, executives or HR staff themselves.

  4. Legal privilege and legal holds

Some investigations run under counsel and records must be preserved when a charge or lawsuit is filed.

  5. Retaliation monitoring

Participating in an investigation is protected activity under EEO laws.

  6. Consistent outcomes and precedent

Similar issues should lead to similar corrective actions.

Requirements by company size

    • Secure case log with restricted access
    • Guided investigation templates

    Watch out for

    • Cases tracked in shared drives or email
    • Managers investigating their own teams
    • Platforms sized for large employee relations teams
  • Mid-sized companies

    • Several intake channels including anonymous reporting
    • Standard workflows by case type
    • Trend reports by location and department

    Watch out for

    • Hotline reports kept in a separate system
    • No link between cases and later discipline
    • Retention rules that differ by HR partner
  • Enterprises

    • Granular permissions, privilege marking and legal holds
    • Integration with HRIS, hotline and legal systems
    • Consistency and precedent reporting across regions

    • Several case systems across business units
    • Analytics that expose identities to broad audiences

Red flags

  • No audit log of who viewed or changed a case
  • Access set only by role, not by case
  • No way to place records on legal hold
  • Anonymous reporters cannot be contacted for follow-up
  • Case outcomes stored as free text that cannot be reported on

How we research

Ranked by the LeadChange Score, computed only from verified facts: capability coverage (30%), pricing and value (20%), integrations and API (15%), security (15%), fit and support (10%) and data confidence (10%), times a category fit. Products with too few verified facts are not scored yet and come last. Payment never changes a score or a position.

Read the full methodology

  • Facts, not impressions

Every input is a fact verified against vendors’ official documentation, with the date we last checked it.

  • Missing data is never assumed

Unverified items are left out of the score and lower its coverage; below 60% coverage a product is not scored yet.

  • Independent of revenue

Rankings never depend on whether a vendor pays us.
