What matters for small business

  1. Built-in candidate consent

Small teams rarely have a legal review for each hire.

  2. Simple scorecards

Even a few hires benefit from consistent criteria.

  3. Flexible per-seat pricing

Only a few people interview regularly.

How to choose interview intelligence software

6 criteria · Requirements by company size · 6 red flags

Choose on how well the tool supports structured, fair interviews and how safely it handles recordings. Better transcripts matter less than whether interviewers submit consistent, evidence-based feedback on time.

Run a mock interview during the demo: join from your usual video platform, decline recording as a candidate, then see the notes, scorecard and ATS record that result.

  1. Recording consent and candidate notice

Some states require everyone on a call to consent before recording, and candidates should be able to decline without penalty.

  2. Transcription and note quality

Notes that miss or misattribute answers undermine every decision built on them.

  3. Structured interview guides and scorecards

Asking every candidate the same job-related questions and scoring against defined criteria makes decisions more consistent and easier to defend.

  4. ATS integration

Recordings, notes and scorecards should sit on the candidate record, not in a separate tool.

  5. Video and phone platform coverage

The tool cannot record or analyze interviews it cannot join.

  6. AI scoring controls

Automated ratings of candidates can trigger bias audit duties in some places and screen out people with disabilities.

Requirements by company size

  • Small businesses

    • Simple AI notes with candidate consent built in
    • Scorecards that sync to the ATS
    • Per-seat pricing for a few interviewers

    Watch out for

    • Annual contracts for a handful of hires
    • Recordings stored with no deletion settings
    • Generic notetakers with no candidate consent flow

Red flags

  • No candidate consent step before recording starts
  • AI scores or rankings of candidates that cannot be turned off or explained
  • No retention or deletion settings for recordings
  • Scorecards that do not sync back to the ATS
  • No access controls or logs on who viewed recordings
  • Vendor uses interview recordings to train models without a clear opt-out
