What we compare

No visitor management product is verified yet. These are the capabilities each one will be checked against, in the vendor’s own documentation.

Capabilities in the comparison

  • Self-service check-in

Lets guests check in at a kiosk, tablet or by QR code.

  • Visitor pre-registration

Lets hosts invite guests in advance, often from calendar invites.

  • Host notifications

Alerts hosts by email, SMS or chat when guests arrive.

  • Document signing

Captures NDAs, waivers and safety acknowledgments at check-in.

  • Badge printing

Prints or issues digital visitor badges with photo and visit details.

  • Watchlist screening

Checks visitors against internal or external lists and alerts security.

  • Emergency roll call

Produces a live list of everyone on site and tracks who is safe.

  • Access control integration

Issues temporary credentials that open doors during the visit.

  • Visitor log and reporting

Keeps a searchable visitor history with export and reports.

  • Data retention controls

Sets how long visitor data is kept and deletes it automatically.

How to choose visitor management software

Choose on the guest's path through your building: invitation, arrival, check-in, badge, host alert, access and sign-out. The tool should make that path faster for guests and safer for you.

Run a real check-in at the demo with a kiosk or tablet you would actually use, including a pre-registered guest and a walk-in.

  1. Check-in experience

A slow or confusing kiosk creates lobby queues and pushes staff back to paper.

  2. Host notifications

Guests waiting for a host who does not know they arrived is the most common complaint.

  3. Document signing and screening

NDAs, safety briefings and screening questions must be captured at entry, not after.

  4. Watchlists and security screening

Some sites must stop specific people from entering or alert security.

  5. Emergency roll call

During an evacuation you need a current list of everyone on site, guests included.

  6. Access control and badge integration

Linking visitor passes to doors and turnstiles removes manual badge issuing.

How we research

Ranked by the LeadChange Score, computed only from verified facts: capability coverage (30%), pricing and value (20%), integrations and API (15%), security (15%), fit and support (10%) and data confidence (10%), times a category fit. Products with too few verified facts are not scored yet and come last. Payment never changes a score or a position.

Read the full methodology

  • Facts, not impressions

Every input is a fact verified against vendors’ official documentation, with the date we last checked it.

  • Missing data is never assumed

Unverified items are left out of the score and lower its coverage; below 60% coverage a product is not scored yet.

  • Independent of revenue

Rankings never depend on whether a vendor pays us.
