Research in progress

We have not yet verified which visitor management platforms serve this segment. We rank visitor management software for enterprises once at least 3 products have that evidence; until then, this page sets out what matters and what we evaluate.

What we evaluate

  • Self-service check-in

Lets guests check in at a kiosk, tablet or by QR code.

  • Visitor pre-registration

Lets hosts invite guests in advance, often from calendar invites.

  • Host notifications

Alerts hosts by email, SMS or chat when guests arrive.

  • Document signing

Captures NDAs, waivers and safety acknowledgments at check-in.

  • Badge printing

Prints or issues digital visitor badges with photo and visit details.

  • Watchlist screening

Checks visitors against internal or external lists and alerts security.

  • Emergency roll call

Produces a live list of everyone on site and tracks who is safe.

  • Access control integration

Issues temporary credentials that open doors during the visit.

  • Visitor log and reporting

Keeps a searchable visitor history with export and reports.

  • Data retention controls

Sets how long visitor data is kept and deletes it automatically.

What matters for enterprises

  1. Central policy with site-level rules

Headquarters, plants and labs have different requirements.

  2. Access control and identity integration

Temporary credentials should be issued and revoked automatically.

  3. Watchlist screening and alerts

Security teams need to stop or flag specific visitors.

  4. Audit-ready reporting

Clients and auditors may ask for visitor records.

How to choose visitor management software

6 criteria · Requirements by company size · 5 red flags

Choose on the guest's path through your building: invitation, arrival, check-in, badge, host alert, access and sign-out. The tool should make that path faster for guests and safer for you.

Run a real check-in at the demo with a kiosk or tablet you would actually use, including a pre-registered guest and a walk-in.

  1. Check-in experience

A slow or confusing kiosk creates lobby queues and pushes staff back to paper.

  2. Host notifications

Guests waiting for a host who does not know they arrived is the most common complaint.

  3. Document signing and screening

NDAs, safety briefings and screening questions must be captured at entry, not after.

  4. Watchlists and security screening

Some sites must stop specific people from entering or alert security.

  5. Emergency roll call

During an evacuation you need a current list of everyone on site, guests included.

  6. Access control and badge integration

Linking visitor passes to doors and turnstiles removes manual badge issuing.

Requirements by company size

  • Enterprises

    • Central management across many sites
    • Access control, identity and security integration
    • Watchlist screening and audit-ready reporting

    Watch out for

    • Local site rules that the tool cannot represent
    • Regional privacy requirements for photos and ID scans
    • Hardware support across many locations

Red flags

  • No real-time list of who is on site for emergencies
  • Visitor data kept indefinitely with no retention settings
  • Host notifications limited to one channel
  • Signed documents stored outside the visitor record
  • No export or API for visitor logs
