How to choose contractor management & payments software

Judge a contractor platform on three things: whether payees get paid correctly and on time, whether your records survive an audit, and whether it pushes you toward correct classification rather than hiding the risk.

Ask for a demo that onboards a payee in a country you actually use, pays an invoice, and produces the year-end report.

  1. Payee onboarding and tax documentation

    Missing or wrong tax documents create reporting problems at year end and can force withholding decisions.

  2. Payment coverage and rails

    Contractors expect local-currency payment, and failed transfers consume finance time.

  3. Classification support

    The IRS looks at behavioral control, financial control and the type of relationship, and the DOL looks at economic dependence. A platform that records these facts gives you a defensible file.

  4. Contracts and statements of work

    Payments should tie to a signed agreement and defined scope.

  5. Invoice and approval workflow

    Approval gaps lead to duplicate or unauthorized payments.

  6. Year-end reporting

    Businesses that pay contractors for services report nonemployee compensation to the IRS on Form 1099-NEC.

Red flags

  • The vendor will not state the exchange-rate markup in writing.
  • Classification is described as handled by the platform, with no record of your own determination.
  • No year-end reporting support, or support only for payees with US addresses when you pay abroad.
  • Payment failures are not reported to you in a log you can export.
  • Terms make you liable for taxes or misclassification without explaining which party does what.
