Research in progress

We have not yet verified which employee monitoring platforms serve this segment. We rank employee monitoring software for small business once at least 3 products have that evidence; until then, this page sets out what matters and what we evaluate.

What we evaluate

  • Activity and idle time tracking

Records active and idle time on company devices during work hours.

  • Application and website usage

Reports which applications and sites are used and for how long, with categories you control.

  • Screenshots and screen recording

Optional capture of screen images or recordings, ideally limited by group, schedule and trigger.

  • Productivity analytics

Summarizes work patterns by team and role with configurable productive and unproductive labels.

  • Policy and data loss alerts

Flags risky actions such as unusual file transfers, blocked sites or removable media use.

  • Employee self-view

Lets employees see the data collected about them.

  • Notice and acknowledgment

Delivers the monitoring notice and records each employee's acknowledgment.

  • Role-based access and audit log

Limits who can view detailed data and logs every access.

  • Retention controls

Sets how long each data type is kept and deletes it on schedule.

What matters for small business

  1. Simple per-data-type settings

Owners need to switch off intrusive capture without technical help.

  2. Employee self-view

Showing staff their own data builds trust in a small team.

  3. Built-in notice delivery

Few small employers have a process to collect acknowledgments.

How to choose employee monitoring software

6 criteria · Requirements by company size · 6 red flags

Monitoring tools differ less in what they can capture than in how precisely you can limit it. Choose on configurable data collection, transparency to employees, access controls and data retention, then on reporting quality.

Write down the question you need answered before the demo, and ask the vendor to show the minimum configuration that answers it.

  1. Configurable data collection

Capturing more than you need adds privacy risk, storage and employee distrust without better answers.

  2. Transparency to employees

Employees who can see what is collected about them are less likely to feel surveilled and can correct errors.

  3. Notice and acknowledgment support

Some states require written notice and acknowledgment before monitoring, and you need proof that it happened.

  4. Role-based access to monitoring data

Activity data and screenshots can reveal personal information, so viewing them should be limited and logged.

  5. Data retention and deletion

Keeping monitoring data longer than needed raises exposure in a breach or dispute.

  6. Off-hours and personal-use boundaries

Recording outside work time or on personal activity creates privacy risk that rarely serves a business purpose.

Requirements by company size

  • Small businesses

    • Simple setup on company devices
    • Clear on and off switches for each data type
    • Employee-facing view of their own data

    Watch out for

    • Default settings that capture screenshots or keystrokes you never decided to collect
    • Monitoring personal devices without a clear policy
    • Using activity scores as the only performance measure

Red flags

  • Marketing built around covert or hidden monitoring of employees
  • No way to switch off screenshots, keystroke or webcam capture
  • No audit log of who viewed monitoring data
  • Retention cannot be shortened or data cannot be deleted on request
  • Vendor claims the product makes monitoring legal or guarantees compliance
  • Productivity scores that cannot be explained or adjusted by role
