Research in progress

We have not yet verified which I-9 & E-Verify platforms serve this segment. We rank I-9 & E-Verify software for enterprises once at least 3 products have that evidence; until then, this page sets out what matters and what we evaluate.

What we evaluate

  • Section 1 and 2 completion

Guides employees and employers through the form.

  • Error prevention

Validates entries and flags errors before submission.

  • Audit trail

Logs every entry, change and user action on each Form I-9.

  • Document review

Supports document review including remote examination.

  • Reverification tracking

Tracks expiring work authorization documents and prompts reverification.

  • Deadline alerts

Alerts employers to the three-business-day deadline to complete Section 2.

  • E-Verify integration

Creates and tracks E-Verify cases from the completed form.

  • Retention and purge

Applies retention periods and purges forms.

  • Indexing and retrieval

Indexes forms so they can be retrieved and produced for an inspection.

  • Remote and multi-site support

Supports remote hires and multiple locations.

  • Integrity and security

Protects stored forms from unauthorized alteration and controls access.

  • Data export

Exports forms and audit data in usable formats for inspection or system exit.

What matters for enterprises

  1. Single sign-on and granular permissions

Access to records must be limited to authorized personnel across many users.

  2. Multi-entity management

Each employer entity has its own forms and retention schedule.

  3. System documentation and quality assurance

Employers must describe the system and indexing and run periodic checks.

  4. API and data warehouse access

Central compliance teams need reporting without manual exports.

How to choose I-9 & E-Verify software

6 criteria · Requirements by company size · 5 red flags

The software does not make you compliant. It reduces errors and makes your records retrievable, so choose for audit trail integrity, error prevention and clean exits from the system.

Ask each vendor to map its product to the USCIS electronic system requirements in writing.

  1. Audit trail

USCIS says an electronic system must create a secure, permanent record of who created, updated or corrected a form, when, and what they did.

  2. Integrity and security controls

The system must have reasonable controls to prevent and detect unauthorized or accidental creation, alteration or deletion of stored forms, and limit access to authorized staff.

  3. Indexing and retrieval

Employers must be able to identify and retrieve records and reproduce legible paper copies, and must keep a description of the system and indexing available on request.

  4. Error prevention and correction

Most paperwork problems are avoidable data errors, such as missing dates or mismatched documents.

  5. Deadline tracking

Section 1 is due no later than the first day of employment and Section 2 within three business days of the first day.

  6. E-Verify integration

E-Verify is free and voluntary for most employers, but some are required to use it by state law or federal regulation. Integration saves rekeying data.

Requirements by company size

  • Enterprises

    • Single sign-on and granular permissions
    • Centralized dashboards across entities and sites
    • Documented system description and quality assurance program
    • API access and E-Verify at scale

    Watch out for

    • Acquired entities with legacy paper files that need migration
    • Data residency and retention conflicts with other systems
    • Vendor change management for form updates

Red flags

  • The vendor cannot show an audit trail for a corrected form.
  • Administrators can overwrite or delete a completed form without a record.
  • Compliance is described as guaranteed rather than mapped to specific USCIS requirements.
  • You cannot export forms with audit history in a standard format.
  • E-Verify is advertised as a paid feature, although E-Verify itself is free.
