How to choose onboarding software

Start with the hire that goes wrong today. Map the steps from offer acceptance to day 30, mark which ones depend on another department, and score each product on how well it automates those handoffs.

Do not buy on welcome-screen polish. Buy on data flow, compliance handling and how little work an administrator does per hire.

  1. Form I-9 and E-Verify handling

    Employers must complete Section 2 within three business days of the first day of work for pay. Weak I-9 workflows create audit exposure.

  2. Tax and payroll form capture

    Federal W-4 and state withholding forms must reach payroll accurately and without re-keying.

  3. Pre-boarding before day one

    Collecting data and signatures before the start date removes first-day admin.

  4. Task automation across departments

    Onboarding fails at handoffs to IT, facilities and managers.

  5. Integrations with HRIS, payroll and ATS

    Candidate data should be entered once and travel with the hire.

  6. E-signature and document storage

    Signed policies and agreements must be retrievable later, and retention rules vary by record type.

Red flags

  • The vendor cannot show a completed I-9 audit trail in the demo.
  • Integrations are described as available but cannot be named with sync direction.
  • New-hire tasks only work in a desktop browser.
  • Pricing is withheld until a long discovery process ends, with no range given.
  • Templates cannot be changed without vendor services.
