| Payroll corrections and cancellations | Gusto → QuickBooks Online | When they happen | Wages, taxes and reimbursements update in QuickBooks Online after a correction or a canceled payroll. |
| Contractor payments | Gusto → QuickBooks Online | Each payment date | One batched entry per pay date, or one entry per payment; US and non-US contractors. |
| Chart of accounts | QuickBooks Online → Gusto | At setup and on refresh | Gusto reads your accounts and suggests one for each payroll category. |

How to connect QuickBooks Online to Gusto
- Make sure you are an admin in both Gusto and QuickBooks Online: the connection needs both.
- In Gusto, open the App directory, select QuickBooks Online, click Connect, sign in to QuickBooks Online and authorize the connection.
- Review the settings Gusto recommends, including the date each entry posts on.
- Map every Gusto payroll category to a QuickBooks Online account. Categories that do not apply to your payroll stay off the entry.
- Optionally split entries by employee, department, job or project and assign a class to each grouping.
- Pick the payrolls already run this fiscal year that you want to sync, leaving out periods whose books are closed.
- Set default mappings so new deductions, earning types and benefits map themselves instead of stopping the sync.

Gusto and QuickBooks Online: questions
Does Gusto sync with QuickBooks Online automatically?
Yes. Once connected, Gusto builds and syncs a detailed journal entry into QuickBooks Online each time you run payroll. Auto-sync covers payrolls run after you turn it on; earlier payrolls can be synced by hand, in bulk.
Is the Gusto and QuickBooks Online integration two-way?
Gusto describes it as two-way. Payroll entries go from Gusto to QuickBooks Online, while your chart of accounts and classes come from QuickBooks Online into Gusto for the mapping.
How do contractor payments sync to QuickBooks Online?
You choose: one batched entry per pay date, which Gusto recommends once you make 30 or more contractor payments, or one entry for each payment.
Can you do bookkeeping with Gusto?
Gusto posts the payroll side of your books. It adds benefit and deduction liability lines to each entry, and you offset them in QuickBooks Online when you pay the provider, so reconciliation and the rest of the bookkeeping stay in QuickBooks.
Why did my Gusto sync to QuickBooks fail?
A sync usually stops when the connection to QuickBooks Online drops or a payroll category has no mapping. Reconnecting keeps your previous mappings, so you can re-sync the failed entries.
Does Gusto integrate with QuickBooks Online?
Yes. Gusto lists QuickBooks Online as a native integration in its own documentation (checked Oct 9, 2026).
Which other payroll software products integrate with QuickBooks Online?
Paychex Flex, OnPay, ADP RUN Powered by ADP, Patriot Payroll, and Square Payroll also list QuickBooks Online.
Does Gusto have an API?
Yes. Gusto lists an open API (REST). It also lists webhooks for real-time events.
