How to connect Xero to Gusto

  1. Make sure you are an admin in both Gusto and Xero: the connection needs both.
  2. In Gusto, open the App directory, find Xero, click Connect and sign in to Xero to authorize the connection.
  3. Set default mappings so new earnings types, deductions and benefits map themselves instead of stopping the sync.
  4. Map every Gusto payroll category to a Xero account in the Detailed tab; the sync needs all of them, and the AI suggestions help.
  5. Choose whether payroll posts as a Manual Journal (the default) or a Bill, and whether bills are approved automatically, and pick the date entries post on.
  6. Optionally split entries by employee, department, job or project, assign a tracking category to each grouping, and turn on auto-sync.

Gusto and Xero: questions

Does Gusto sync with Xero automatically?

Yes. Each time you run payroll, Gusto sends it to Xero as a Bill or a Manual Journal. With auto-sync on, you only sync by hand for earlier payrolls.

Should I sync Gusto payroll to Xero as a Bill or a Manual Journal?

Manual Journal is the default and works on every Xero edition. A Bill lets you approve and pay the payroll in Xero, but it needs an eligible edition and is not available on Xero Partner Editions.

Can you do bookkeeping with Gusto?

Gusto posts the payroll side of your books. It adds benefit and deduction liability lines, and you offset them in Xero when you pay the provider, so reconciliation and the rest of the bookkeeping stay in Xero.

Does Gusto integrate with Xero Projects?

No. Gusto can split entries by project with its own Project Tracking, but it does not sync to Xero Projects.

Why did my Gusto sync to Xero fail?

The most common cause is a payroll category with no account mapped: the sync needs every detailed mapping. An entry already reconciled in Xero also cannot be re-synced until its payments are removed.

Which other payroll software products integrate with Xero?

Paychex Flex, OnPay, and ADP RUN Powered by ADP also list Xero.

Does Gusto have an API?

Yes. Gusto lists an open API (REST). It also lists webhooks for real-time events.
