HRIS Software

Best HRIS Software for Healthcare

Hospitals, clinics, home health agencies and care homes staff around the clock, often with part-time and per diem nurses and aides. Each clinical role depends on a current license, so the HR record must flag an expiring credential before the schedule does. Health-related documents such as immunization records need tighter access than a job title or pay rate.

How the score works

What matters for healthcare

  1. License and credential expiration tracking

A lapsed license can take a nurse off the schedule. Look for an expiration date on each credential, reminders to the employee and the manager before it, and a report of everything due to expire next quarter.

  2. Restricted access to health-related documents

Immunization, drug-test and accommodation records call for need-to-know access even when HIPAA does not apply to them. Check that permissions can be set by document type, not only by employee.

  3. Shift, part-time and per diem employee types

Benefits eligibility, overtime and reporting differ by employee type. The HRIS should hold each person's type and standard hours and pass them to payroll and benefits without rekeying.

  4. Facility, unit and department structure

Health systems report by facility and nursing unit as well as by department. Confirm that a person can move between units with an effective date and that reports roll up by facility.

  5. Mobile self-service

Most clinical staff do not work at a desk. Employees should be able to upload a renewed license, update their details and read policies from a phone.

Frequently asked questions

Does an HRIS for healthcare have to be HIPAA compliant?

Not for the HR records themselves. HIPAA's Privacy Rule excludes employment records that a covered health care provider holds in its role as employer from protected health information, so a nurse's personnel file is not patient data because the employer is a hospital. Other rules still apply: medical information about employees, such as accommodation records, must be kept in separate, confidential medical files under the ADA regulations. Ask each vendor where those files live and who can open them.

What does HRIS mean in healthcare?

The same as anywhere: a human resources information system, the system of record for employee data such as job, pay, time off and documents. In healthcare it also holds each clinician's licenses and certifications with their expiration dates, tracks part-time and per diem staff by facility and unit, and keeps health-related documents behind tighter access. It is separate from the electronic health record, which holds patient data, not employee data.
